Booking Terms and Conditions: rooms and apartments at REJS B&B in Władysławowo

This is an English translation provided for the convenience of our guests. The Polish-language version, available at www.rejswladyslawowo.pl, is the binding and legally authoritative document.

These Terms and Conditions set out the rules for providing services and for staying on the premises of the Property operated by Grażyna Jakubowska, a sole trader doing business under the name REJS B&B Grażyna Jakubowska, located in Władysławowo at ul. Hryniewieckiego 4, and form an integral part of the agreement, which is concluded by making a reservation and paying a deposit or the full amount due for the stay at the Property.

Completing the actions described above constitutes confirmation that the Guest making the reservation has read and accepted the provisions of these Terms and Conditions, available at www.rejswladyslawowo.pl

"Guest" means the person making the reservation and renting a room or apartment at the Property. "Property" means the owner or operator of the premises.

These Terms and Conditions apply to the Guest and to all persons present on the Property's premises.

These Terms and Conditions are available on site at the Property and on its website.

  
Reservations:

  1. Reservations may be made electronically or by telephone.
  2. The Guest is solely responsible for providing correct information in the reservation request. The reservation covers the dates specified by the Guest, as set out in the booking confirmation.
  3. A reservation becomes valid once the deposit has been paid (the prepayment takes the form of a non-refundable deposit under Polish law). Once the deposit has been paid, the reservation dates cannot be changed. The deposit amounts to between 40% and 100% of the total price of the stay, as specified by Property staff (in particular, a 100% deposit is required for one-night stays, and a 100% deposit is required for two-night stays).If the Guest pays a sum higher than the amount specified above, the entire payment will be treated as a deposit. Payment is to be made to the Property's bank account indicated by Property staff, by the deadline given in the booking confirmation. Failure to make the payment in the amount and by the deadline specified by Property staff is treated as cancellation of the reservation. If the Guest making the deposit wishes to receive a VAT invoice, they must provide the Polish tax ID (NIP) of the business to which the invoice is to be issued, either in a separate email sent before the payment or in the payment transfer reference. Failure to provide the NIP by email or in the transfer reference will result in a receipt being issued without a NIP number, which will make it impossible to obtain a VAT invoice for the amount paid afterwards.
  4. The remaining amount for the stay must be paid in cash (in person or by postal money order), by debit or credit card, or by bank transfer, no later than three business days before the reservation start date. Failure to make this payment on time will prevent the keys or access codes to the room or apartment from being handed over. Failure to make payment within the above deadline is equivalent to immediate termination of services by the Property.
  5. Final confirmation of the reservation will be sent to the Guest's email address within 3 days of the payment being credited to the Property's account.
  6. If the Guest cancels the reservation, regardless of the reason, the deposit paid or the full 100% payment is non-refundable and cannot be transferred to another reservation or to different dates.
  7. Reservations made through online booking portals are subject to the booking rules set out in the listing published on the relevant portal.

Conditions of Stay:

  1. Check-in begins at 3.30 p.m. and check-out is by 10.00 a.m. the following day.
  2. Check-in at the Property requires presenting a photo ID document to Property staff. If the Guest refuses to present an ID document in a way that allows check-in to be completed, the Property reserves the right to refuse check-in. In such a case, the Guest is deemed to have cancelled the stay for reasons beyond the Property's control, and the Property is entitled to retain any amounts paid by the Guest.
  3. If the Guest or accompanying persons fail to vacate the room or apartment by the end of the check-out time on the last day of stay, the Property reserves the right to move any belongings left behind to the luggage storage area, witnessed by staff members, at the cost and risk of the person occupying the room or apartment.
  4. The Guest is financially responsible for the property entrusted to them and, by accepting these Terms and Conditions, agrees to cover the cost of any damage caused through their fault.
  5. The room or apartment may not be made available or transferred to other persons.
  6. The Guest agrees to inform the Property without delay of any event that could expose it to damage or loss.
  7. The Guest will notify the Property immediately of any damage they cause to the room or apartment or to its furnishings.
  8. The Guest agrees to use the room or apartment for overnight accommodation purposes only.
  9. Holding parties or gatherings that disturb other guests of the Property is strictly prohibited in the rooms and apartments. If the municipal police or police are called to intervene, the Property may terminate the agreement with immediate effect and charge the Guest a fee of PLN 2,500.
  10. Smoking tobacco and tobacco products (including e-cigarettes) is strictly prohibited throughout the entire Property. If this rule is broken, the Guest will be charged an additional cleaning fee (for washing upholstery, curtains and textiles and for ozone treatment of the room) of PLN 2,500.
  11. Quiet hours apply at the Property and in the rooms and apartments between 10.00 p.m. and 7.00 a.m.
  12. Pets are not allowed on the Property as a general rule. Any exceptions, as well as the rules and fees for keeping pets, are subject to individual arrangement with the Property.
  13. The Property is not liable for the belongings of the Guest and accompanying persons left in the room or apartment.
  14. For fire-safety reasons, the use of electrical appliances not provided as part of the room or apartment's furnishings is prohibited, with the exception of electric shavers, phone chargers, tablets and computers. The use of any cooking or food-heating equipment is also prohibited.
  15. The number of people staying in a room or apartment may not exceed the number stated in the reservation. The Property reserves the right to charge an additional fee of PLN 400 per extra person per night if more guests are found to be staying in the room than were stated in the reservation.
  16. Property staff must be notified immediately of any loss of keys or access codes to the room or apartment.
  17. Personal belongings left behind by a departing Guest in the room or apartment will be kept by the Property for 7 (seven) days from the date of departure, at the Guest's cost and risk. The Property will notify the Guest that items have been left behind and explain how they can be collected. After this period, any items left at the Property will be considered abandoned.
  18. The Property is not liable for temporary inconveniences caused by a temporary lack or unavailability of water, heating, electricity, etc. resulting from causes attributable to utility providers.
  19. In the event of a breach of these Terms and Conditions, in particular if the stay of other guests is disturbed, the Property may refuse to continue providing services to the person responsible for the breach. Such person is required to comply without delay with the requests of Property staff or of the security firm employed by the Property. A person committing such a breach who is required to leave the Property before the end of the reserved stay will not receive any refund of amounts paid to the Property.

Withdrawal and Cancellation:

  1. If the Guest cancels their stay at the Property after it has already started, for reasons beyond the Property's control, the amount paid for the unused portion of the stay is non-refundable.
  2. Guests who have not arrived at the Property by 11.00 p.m. on the scheduled arrival date are considered to have cancelled their stay for reasons beyond the Property's control. In such cases, amounts paid are non-refundable and the reservation is cancelled at 10.00 a.m. the following day. Any arrivals at the Property after 11.00 p.m. must be agreed individually with Property staff each time.
  3. Up until the start of the first night of the reserved stay, the Guest may withdraw from the agreement made with the Property by sending the Property a statement to that effect, in exchange for a withdrawal fee equal to the amount already paid by the Guest. The withdrawal fee will be deducted from the payments made by the Guest.

The purposes for processing your personal data have been defined. As Controller, we will process your data in order to provide an offer in response to your enquiry, to maintain correspondence, and to perform the contract concluded between you and the Controller.

The legal basis for processing your personal data may be your consent (Article 6(1)(a) GDPR), the need to take action at your request (Article 6(1)(b) GDPR), or purposes related to a legitimate interest pursued by the Controller.

IV. Retention Period

Your personal data arising from the contract concluded between you and the Controller will be processed for the period necessary to perform the contract and for the period during which claims related to the contract may arise
(no longer, however, than 10 years).

V. Recipients of Data

The recipients of your personal data will only be entities authorised to obtain personal data under applicable law.

 

VI. Rights of Data Subjects:

Under the GDPR, you have:

• the right to access your data and to receive a copy of it;
-  the right to rectify (correct) your data;

• the right to erasure of data and to restriction of processing;
• the right to data portability;
• the right to lodge a complaint with a supervisory authority.

VII. Information on Whether Providing Data Is Required or Voluntary

Processing your data is necessary in order to provide an offer in response to your enquiry, to maintain correspondence, and to perform the contract concluded between you and the Controller.

VIII. Automated Decision-Making

In the course of performing the contract, we do not make decisions in an automated manner. Your personal data is not subject to profiling by us.
